BOOKKEEPING
Feel free to use any accounting system you are comfortable with. You may choose to use a program such as Quicken or Quickbooks or may be more comfortable using Excel or a Ledger Book.
Every month, you will prepare a Treasurer’s Report for both the Board and the members. This should include a summary of how much money is in the account, what checks were written (and what for), and if any of the money in the account has been promised for a particular future purpose. That way, the whole chapter always knows how much money is in the treasury, what has been spent and what is allocated for future events.
You can DOWNLOAD A SAMPLE BOOKKEEPING FILE HERE or in the Members Only Resources page of the website.
Be sure to keep accurate and complete records, get receipts for every transaction and use the MOMS Club Reimbursement form for every payment. You can DOWNLOAD THE REIMBURSEMENT FORM HERE or in the Members Only Resources page of the website.
Members should turn in all forms and receipts in a timely manner and the Treasurer shall also process any reimbursement checks in a timely manner. Make sure you give receipts for all deposits or donations.
The MOMS Club Fiscal Year runs from July 1 to June 30. Make sure all transactions are processed during the appropriate fiscal year.
