Job Description

The Assistant Regional Coordinator (ARC) position involves a higher level of leadership development, while you train and support the State Coordinators on your team. You will also have an opportunity to plan and promote inter-chapter events, such as Board Workshops and Luncheons.

YOUR ROLE
As a Assistant Regional Coordinator (ARC), multiple State Coordinators will report directly to you. You will generally NOT serve as a chapter’s Primary Coordinator, but rather support your State Coordinators, Area Coordinators and Big Sisters who directly support the chapters in your area. You are the backup for your State Coordinators.

Your Regional Coordinator (RC) is your backup and supervising coordinator.

COMMUNICATION WITH YOUR COORDINATORS
As an ARC, you help your Coordinators manage the chapters under their care.

  • Your primary contact is with your SCs, but you are the SC’s backup, and may field questions from Big Sisters and Area Coordinators as well.
  • Each Coordinator should be following the “newsletter checklist” and sending a copy of their monthly report on all chapters they oversee to their SC.
  • SCs are responsible for sending their ARC an SC monthly summary on all the chapters and coordinators they oversee.
  • You are the contact person for problem solving within your area. Be sure to keep your RC informed of what is happening with your chapters and coordinators.

DEVELOPING YOUR TEAM
Personal contact is key to a successful region. Please make an effort to communicate with your SCs regularly – don’t be afraid to make a phone call! Also try to get to know the ACs and Bigs in your area.

Your ACs, Bigs and SCs should be actively looking for potential volunteer coordinator candidates. Watch current chapter presidents for future Big Sisters. Refer all potential volunteers to fill out the volunteer application on the MOMS Club website.

ARCs may be asked to conduct “Big Sister Chats” with candidates. Remember that candidates should always be a good fit. Some candidates are better suited to other positions.

BIG SISTER PROMOTIONS
At around the 6 month mark, review Big Sisters with your State Coordinators to determine if they are ready for promotion. (See criteria in SC job description.)

If they are ready, determine if they are interested. (Either ARC or SC should contact them.)

Then, let them know that they will be contacted to schedule a chat. (Either with ARC or RC.)

ANNUAL REPORTS
Annual Reports/Award Determinations take place each July. Reports must be reviewed for all chapters in your area of responsibility. ARCs help State Coordinators in the nomination of awards for all chapters, as well as confirming any probationary status chapters.

OTHER DUTIES
Each Region has unique needs, but here are some things ARCs are often needed for:

  • Researching newly registered chapters in your area
  • Following up on missing EINs
  • Reviewing coordinator responsibilities
  • Planning events: Board Workshops and Luncheons
  • Setting guidelines for the Region
